The Challenge
As a busy law firm, our client has many documents stored in several different files and folders. They have the need to locate documents quickly and
accurately both for knowledge management purposes and also for Conflict of Interest searches. They need to ensure that they do not accept instructions
to act for a client where there is a conflict of interest or a significant risk of a conflict of interest. Information about clients is scattered
across various documents and they needed a way to efficiently locate such information.
The Solution
The solution adopted was for Alpha Zero to integrate their flagship product Pathway with the existing CIVICA Galaxy Legal Practice Manager system
already installed at our client. Pathway is a document search facility which indexes every key word within every document within the database.
Consequently searches can be carried out to test out conflict of interest and in conducting knowledge management searches to retrieve information
concerning similar cases. Pathway automatically provides intelligent summaries of all documents and also highlights key criteria such as document
owner and created / amended dates to enable advanced searches.
Pathway has enabled our client to locate documents instantaneously which in turn has enabled much better utilisation of existing knowledge which is
particularly important in a specialist law firm. For Conflict of Interest searches, Pathway allows the firm to accurately search all their documents
in just one rapid search and leaves them confident that they have fulfilled the requirement to check for any conflicts of interest in an efficient
manner.
The Results
Our client has been delighted with the difference the integration of Pathway and Galaxy has made to the business. First and foremost it is a
significant time saver, both with the necessary Conflict of Interest searches and also for general searching for documents and information. They have
found it simple and intuitive to use. Due to the time saved through the implementation of Pathway, there have also been significant efficiency
savings to the firm.
